Terms and Conditions
ELIGIBILITY
This incentive scheme (Expotel Rewards) is open to employees in the UK who are currently or are going to use Expotel for booking hotels and conferences. Participants must be 18 years of age or older at the time of entry and must agree to participate in the Incentive Scheme and must agree to a performance related points system for the duration of the Incentive Scheme. 

 
TIMING
The Incentive Scheme runs from 17th of March 2008 up to when terminated by Expotel.
These terms and conditions shall be deemed to apply to the participation in the incentive Scheme by all participants from and including 17th of March 2008.  Continued participation in the Incentive Scheme constitutes full and unconditional acceptance of these terms and conditions.

PERSONAL DATA
Personal data which you provide when you participate in this scheme will be used by Expotel and Corporate Rewards Ltd for the purposes of this Incentive Scheme only, unless otherwise is agreed by you (The client) Expotel and Corporate Rewards

INCENTIVE SCHEME
The Incentive Scheme will run on a points basis. Points will be allocated at Expotel’s discretion.  Expotel will pass this information to Corporate Rewards Ltd who administers the Incentive Scheme points allocation on Expotel’s behalf.

Points
Each Month points will be awarded to each participant, based on matured hotel and conference business from the previous month.  It is our intention to have all points allocated by the 20th of the following month. 

For every room night booked with Expotel on *hotel business, 80 points will be awarded to your account.

For every £100 you spend with Expotel on *conference business, 100 points will be awarded to your account.

In order to be eligible to earn points for hotel and conference bookings these must both have been booked and matured whilst you being signed up to Expotel Rewards.  Hotel and conference bookings made prior to having signed up to Expotel Rewards will be disregarded whether or not they mature whilst signed up to the scheme.
 
If you are booking non-commissionable hotels/venues and you and the company for which you are employed, is not being charged a transaction fee for these, you may not be eligible to receive points on those particular bookings.
 
   *Travel business booked through Expotel is not included in this scheme.
  **Due to weekend, bank holidays, system errors etc, Expotel cannot always guarantee that you (the client) will be able to see an update in points on the 20th of each calendar month.

AWARDING Points
Points will be awarded to participants on a monthly basis based on matured hotel and conference bookings booked through Expotel whilst having signed up for the scheme. Participants may opt to either:
(i) save points awarded for redemption at a later date; or
(ii) redeem some or all of the points awarded on a monthly basis for prizes through the website. 
No client can have the same username.


If you are a group who use the same e-mail address to have your confirmations sent through to, only one person can register using that e-mail address.

The e-mail address which you provide to Expotel when registering to Expotel Rewards, should be the same one which your confirmations are sent to, when booking hotels and conferences. If you do not provide Expotel with the correct e-mail address, we will not be able to retrieve your points.

In circumstances like the above and where your fellow colleagues wish to join the scheme, they will have to do so under a different e-mail address.

If a correct name but an e-mail address which differs to the one you have registered under is given at the time of booking, the points cannot be retrieved and will be considered lost.

It will be your responsibility to make sure the correct e-mail address is given and appears on the confirmation sent to you from Expotel.

Expotel CLIENT code:
Your Expotel client code should be the one which you give to Expotel when booking hotels and conferences – please check this code with your Expotel consultant to ensure that you register the correct code.  Failure to submit the correct code will result in points not being allocated to your account.
If you provide Expotel with a code at the time of booking, which you did not list at the time of registering to corporate rewards we may not be able to retrieve your points and these may be considered lost.

Personal Details
If any of your personal details change or you would like to add details please amend/add these in your account details.

REDEEMING Points
Points must be redeemed via the website directly with Corporate Rewards Limited.  Prizes, once chosen, can only be changed if the redeemer contacts Corporate Rewards Ltd within 24 hours of the redemption.   
Redeeming Points for rewards will not affect the Participant’s positioning in the monthly rolling league table (if applicable) maintained by Corporate Rewards Ltd. Prizes will then be sent out directly to the recipient by Corporate Rewards Ltd within 28 days unless otherwise stated on the website or by email communication.  All points must be redeemed 28 days following the end of the campaign.  Each prize will be fulfilled by the participant’s direct arrangement with the supplier, detailed on the MRV, in accordance with each supplier's availability, lead times and capability.

PRIZES
Prizes are subject to their own provider’s terms and conditions.  Expotel takes no responsibility for prize provider’s terms and conditions. Prizes are as stated and no cash alternative is available.Expotel and Corporate Rewards Ltd reserve the right to substitute prizes of equal or greater value.  Prizes may be considered a taxable benefit and winners are subject to tax. Expotel will not account for any tax liability arising from this promotion.

GENERAL
Expotel reserves the right to amend, modify, cancel or withdraw this Incentive Scheme at any time without notice. Expotel reserves the right to cancel or withdraw this Incentive Scheme for individual persons or companies at any time without notice. Expotel cannot be held liable for any third party system errors, faults, breakdowns or any other mishaps which may occur when registering, login in and using the corporate rewards web-site.  In the unlikely event of any dispute, the decision of Expotel shall be final. No correspondence shall be entered into.Expotel and Corporate Rewards cannot guarantee the performance of any third party and shall not be liable for any act or default by a third party.   Participants in this Incentive Scheme agree that Expotel and Corporate Rewards will have no liability whatsoever for any injuries, losses, costs, damage or disappointment of any kind resulting in whole or in part, directly or indirectly from acceptance, misuse or use of a prize, or from participation in this Incentive Scheme.  Nothing in this clause shall limit Expotel and Corporate Rewards’ liability in respect of death or personal injury arising out of its own negligence or arising out of fraud.
